How to make an invoice in 1 minute
- Add your details and, if you like, your logo. They're remembered in your browser for next time.
- Add your client and the invoice number. Use a simple sequence like INV-001, INV-002.
- List your work: one line per service or hour block, with quantity and rate.
- Add tax or VAT only if you're registered for it, and your payment details in the notes.
- Click Download PDF and choose "Save as PDF" in the print window. Then email it to your client.
What should a freelance invoice include?
- The word "Invoice", a unique invoice number and the issue date.
- Your name or business name and contact details, and your client's name and address.
- A clear description of the work, quantities, rates and the total.
- The due date or payment terms (for example Net 14 = due 14 days after the invoice date).
- How to pay you: bank details, PayPal or a payment link.
- UK: if you're VAT registered, your VAT number and the VAT amount. US: sales tax only applies to some services in some states.
Getting paid faster
- Use short terms. Net 14 is usually paid faster than Net 30.
- Make paying easy. Add every payment option you accept in the notes.
- Know your fees. If clients pay by PayPal or card, check what you'll actually receive with the PayPal or Stripe fee calculator, and price it in.
- Set aside tax from every paid invoice: see how much with the tax savings guide.
Is it really free?
Yes. There's no sign-up and no watermark (the small GigMath line is optional). Everything runs in your browser: we never see your invoices, your clients or your numbers.
Frequently asked questions
How do I download the invoice as a PDF?
Click Download PDF, then choose "Save as PDF" (or "Microsoft Print to PDF") as the printer. On iPhone, tap Share and then Save to Files.
Is my data stored anywhere?
Only in your own browser, so your details are there next time on the same device. Nothing is sent to our servers. Use Clear all to remove it.
Can I add VAT or sales tax?
Yes. Enter the rate in Tax / VAT and change the label to "VAT" or "Sales tax". Only charge it if you're registered or required to.
What invoice number should I use?
Any unique, sequential number, like INV-001. The New invoice button increases it automatically.
This invoice template is provided as-is. Check your local rules for what an invoice must include, especially if you're registered for VAT or sales tax.
